Privacy Policy
This policy explains what information MalcolmCC collects, how we use and protect it, who we share it with, and the choices you have. We aim to collect only what we need to run the service — and to be plain about it.

In short: we hold your account email, the media you upload and the captions we produce from it, and your usage. Card payments are handled by Stripe — we never see or store your card number. Transcription runs on our own servers, so your media is not sent to a third-party AI transcription service. Idle media is deleted after 90 days.
1. Who we are
MalcolmCC is a service of Futuretek LLC, an Oregon limited liability company doing business as MalcolmCC (“MalcolmCC”, “we”, “us”, “our”). We provide a caption-generation and editing service at malcolmcc.com. This policy applies to that website and the MalcolmCC editor application. 2. Information we collect
We collect the following categories of information:
- Account information. When you create an account we collect your email address and a securely hashed form of your password. We never store your password in plain text.
- Content you upload. The audio, video, and script files you submit, together with the transcripts, captions, and other outputs we generate from them, and related project metadata (titles, timestamps, edit history).
- Payment information. If you buy paid minutes or a subscription, payment is processed by Stripe. Stripe collects and holds your card details; we receive only limited billing metadata (such as a customer identifier, the last four digits, card brand, and transaction status). We do not store full card numbers.
- Usage data. Information about how you use the service, such as minutes transcribed, projects created, and feature usage, which we use for billing, quotas, and improving the product.
- Technical and log data. Standard server logs including IP address, browser type, and timestamps, plus a single essential session cookie that keeps you signed in. We do not use advertising or third-party tracking cookies.
- Aggregate site analytics. We use Cloudflare Web Analytics to count page views and see which pages people find useful. It is cookieless — it stores nothing on your device and does not follow you across other sites. It records page-level measurements such as the page visited, referrer, general location by country, browser, and load performance. It does not build a profile of you and is not used for advertising.
3. How we use your information
- To provide the service — transcribe and align your media, generate and edit captions, and export files.
- To create and secure your account and keep you signed in.
- To process payments, enforce usage quotas, and send billing-related messages.
- To send essential service email, such as sign-in verification, password resets, and retention warnings.
- To maintain, troubleshoot, secure, and improve the service.
- To comply with legal obligations and enforce our Terms of Service.
We do not sell your personal information, and we do not use the content you upload to train machine-learning models.
4. Cookies
We use a single essential cookie to store your session so you stay signed in. It is required for the service to function and is not used for advertising or cross-site tracking. Because it is strictly necessary, it cannot be disabled while you use your account, though you can clear it at any time in your browser (which signs you out).
That is the only cookie we set. Our site analytics (Cloudflare Web Analytics) are deliberately cookieless, which is why you do not see a cookie-consent banner here — there is nothing to consent to.
5. How we share information
We do not sell your data. We share information only with service providers who help us operate MalcolmCC, and only as needed for them to perform their function:
- Stripe — payment processing and billing.
- Cloudflare (R2) — secure storage of your uploaded media and generated files.
- Cloudflare (Web Analytics) — cookieless, aggregate page-view measurement.
- Email delivery — to send the essential account and billing messages described above.
Speech-to-text transcription is performed on our own infrastructure; your media is not sent to a third-party transcription service. We may also disclose information if required by law, to protect our rights or the safety of others, or in connection with a merger, acquisition, or sale of assets (in which case we will notify you).
6. Data retention
We keep your account information for as long as your account is active. Uploaded media and generated files that have been inactive for 90 days are automatically deleted; we send a warning email at least 7 days before deletion so you can download or re-activate anything you want to keep. When you delete a project or close your account, we delete the associated content within a reasonable period, except where we must retain limited records (for example, transaction records) to meet legal or accounting obligations.
7. How we protect your information
We use industry-standard safeguards, including encryption in transit (HTTPS/TLS), password hashing with argon2id, and session tokens that are stored only as one-way hashes so a database leak cannot be replayed. No method of transmission or storage is completely secure, but we work to protect your information and to limit access to it.
8. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing. Residents of the EEA/UK (under the GDPR) and California (under the CCPA/CPRA) have such rights. To exercise them, email support@malcolmcc.com; we will respond as required by applicable law. You can also delete projects and your account directly in the app. We will not discriminate against you for exercising these rights.
9. Children
MalcolmCC is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
10. International data transfers
We operate from, and store data in, the United States. If you access MalcolmCC from outside the United States, your information will be transferred to and processed in the United States and other countries where we or our service providers operate, which may have different data-protection laws than your own.
11. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of the service after an update means you accept the revised policy.
